Job description

  • Ensures that all team members know all VIP arrivals through verbal and e-mail communication.
  • Assist Front Office Management to ensure brand standards are adhered to daily by all team members in the department.
  • Assist concierge department to arrange VIPs special activities outside of the hotel.
  • Interacts positively with team members to foster team spirit and loyalty.
  • Seeks opportunities to ensure customer loyalty.
  • Reviews VIP reservations, resumes and ensures proper handling of VIPs, administers amenity orders and room assignment/inspections.
  • Assist Pre-blocks all specific accommodations and special requests at least 2 days prior to arrival.
  • Prioritizes daily room assignments for all VIPs. Makes appropriate selection of rooms based on guest needs.
  • Attends and participates in Daily Operation Meeting and Resume Meetings to ensure all pertinent information is communicated.
  • Assigns and instructs housekeeping on arriving VIP, group, and special room type needs for a business day. Informs Front of House, Guest Service Agents, Operators and Bell Attendants of high profile arrivals and departures. Blocks all arrivals for a business day.
  • Coordinate the delivery of amenities to VIP rooms. Prepare a list of repeat guest and VIP’s. Distribute list to all departments.
  • Send out reports to notify hotel of daily, and weekly VIP Arrivals.
  • The Guest Services Manager will also meet, greet and escort all VIP guests and will ensure the guest was delighted and satisfied; arriving, during the stay and during a fond farewell.
  • The position is also responsible for assisting with the daily operation of the Front Desk and other Front Office departments.
  • Assist with managing the front desk and PBX agents as well as assist with administrative duties, such as scheduling, payroll, ordering and inventory.
