Group Sales Manager Essential Job Description

To perform this job successfully, an individual must be able to perform each the specific essential duties outlined below:

Total Account Management

  • Selling group rooms, developing and following up on leads for assigned accounts and markets for the hotel.
  • Sales Manager will be responsible in executing all strategies/action plans in place which encompass the assigned Group business for assigned markets/accounts for all three hotels in the complex.
  • Total Account Development & Growth - Optimize account growth potential in the market through consistent client engagement and solicitation.
  • Sales Systems - Responsible for keeping the sales system up to date with pertinent information critical to sales reporting (St. Gregory – Delphi Standard)
  • Proposals and Contracts - Responsible for the generation of customer proposals and contracts for the hotel.

Prospecting and Business Development

  • Actively prospect for new business while building positive hotel awareness in local market which include key target accounts (including Embassies, Law offices, Universities and Colleges, Local Association, Entertainment and Corporate Accounts). Evaluates potential business for existing and new markets for the hotel.
  • Sales Systems - Responsible for keeping the CRM system up to date with pertinent information critical to sales reporting (St. Gregory – Delphi Standard) Customer Outreach - Responsible for participation of all Sales and Marketing related customer outreach which includes Group promotions / organized Sales Blitzes (virtual/in person) / Sales Calls (virtual/in person) / Scheduled Site Visits and Walk-In Site Visits. Develops and implements new/special market programs when needed for the hotel.

Business Conversion

  • Sales Manager is responsible for using independent judgment and professional discretion to solicit and book substantial, profitable business into the hotel, taking into consideration the financial goals of the hotel as well as those of the client.
  • Complex Sales Manager must be able to take the general pricing guidelines and booking patterns into consideration and make sound business decisions that will positively impact the hotel's revenue. Include Leadership in business decisions. Understand hotel overall budgeted revenue needs and can qualify and close business according to these factors for the hotel.
  • Maintains effective communication, with all necessary contacts, regarding group business, reports of conventions, copies of correspondence and memos for the hotel.
  • Anticipates (or reacts to) client challenges and provides solutions.

Sales Process and Execution

  • Communicates accurate information on in-house groups to help hotel service associates service their needs completely.
  • Maintains daily contact with in-house groups.
  • Assist hotel Associates in the planning and execution of customer related experiences, meetings and special events when needed.
  • Communicate accurate information on Group customer needs through detailed bookings in the sales system and through the turnover process. Attention to detail is critical in order to support associates appropriately distribute group resumes, BEO's, Banquet Checks, Folio's and Deposit Invoices for the hotel.
  • Monitor and work closely with hotel Associates during the Group turnover process to ensure all guest checks, payments, master folios and advanced deposits information is clear and precise when submitted to accounting; ensures that any other group information, which is necessary and/or helpful for successful business, is submitted to appropriate departments.

Other Duties

  • Responsible for knowing and abiding by all department, hotel and company policies and procedures for all three hotels in the complex.
  • Adhere to all other duties as assigned by Leadership for all three hotels in the complex.
