Under the direction of the VP of Operations, the Grant Data Specialist position will be responsible for collecting and analyzing data for Veggie Van and other Community Health programs, assisting with distribution at Veggie Van stops, and building relationships with clients. The grant data specialist will track grant metrics and report progress. The Grant Data Specialist will coordinate with the Community Health Data Specialist and Grant Department as needed.


ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

Member Services and Engagement

  • Check-in participants before survey
  • Conduct all surveys related to the program
  • Collect and analyze all surveys and testimonials from participants
  • Enter information into a database and ensure that your data collection sources are accurate.
  • Measure participant goal progress against the benchmarks set
  • Assist with distribution at stops
  • Build relationships with clients by attendance at program/outreach locations

Operations

  • Input and track data related to Veggie Van and assigned Community Health grants
  • Administer the USDA Food Security survey to new households served
  • Complete USDA Food Security survey data entry
  • Create and submit program information forms to the YES Center for all upcoming health programs
  • Create reports as necessary for directors and stakeholders.
  • Monitor email, properly correspond and follow up with all parties necessary.
  • Follow assigned work schedule, report to work promptly, make arrangements for coverage during absences, and keep supervisor appropriately informed in a timely manner.
  • Manages budget / accounting responsibilities (writing new budget, accruals, journal entries, forecasting, all Y Association budget responsibilities.
  • Completes Monthly and Quarterly Fiscal reports

Safety and Risk Management

  • Ensure adherence to all YMCA policies and procedures regarding the safety, health and welfare of members, program participants, guests and staff.
  • Maintain HIPAA compliance in all functions

Education/ Experience Required:

  • High School Diploma, or GED required. Associate degree preferred.
  • Bilingual (Spanish) preferred.
  • Clerical/administrative/data experience preferred.
  • Ability to use multiple computer systems for data tracking.
  • Proficiency in Microsoft Office (specifically Excel) and Google Spreadsheets
  • Ability to operate telephone, computer, and other office equipment.
  • Deadline driven, very organized, attentive to detail, with excellent communication skills (written).
  • Ability to work independently and with minimal supervision.
  • Ability to and prioritize work to meet daily deadlines.
  • Must have high level of confidentiality to handle sensitive and confidential situations and documentation.
  • Excellent interpersonal skills; ability to relate to individuals at all levels.
  • Excellent customer service skills with a strong commitment to service.
  • Must be extremely organized, detailed with excellent follow through.

Certifications/Trainings Required:

  • Must obtain within 30 days of employment and then maintain current certifications in CPR/AED and First Aid.
  • Maintain other required certifications as stated in the training matrix.

  • While performing the duties of this job, the employee is regularly required to use a computer for extended periods of time and be able to communicate using a computer and authorized work phone/smart device.
  • Ability to perform all physical aspects of the position, including but not limited to, walking, standing, bending, reaching, and lifting.
  • The employee frequently is required to sit and reach, and must be able to move around the work environment.
  • Ability to lift and move a minimum of 60 pounds
  • Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust.
  • Ability to work in a variety of environments, specifically those subject to extreme humidity/dampness, heat and cold.
  • The noise level in the work environment is usually moderate.

This position may require availability to work flexible hours including evenings, weekends, and holidays as needed.
