Action Staffing Solutions Government Division is looking for a General Clerk III professional for our US Homeland Security contract.

Performs a full range of standard and nonstandard clerical work which is difficult and specific in nature, and supports an office where duties may include (but are not limited to):

  • Performs a variety of record keeping, reporting, and informational duties in support of the office’s programs.
  • Compiles, maintains, and updates data, lists, and reports.
  • Checks and verifies data by direct comparison with source documents, pointing out discrepancies, and checks or verifies textual material.
  • Performs work related to gathering, acquiring, and developing resource materials and other information to support the law enforcement, security, compliance, inspection, and/or administrative programs.
  • Updates manuals on policies, directives, and memoranda.
  • Maintains bulletin board(s), selecting and filing new and/or removing deleted material for future reference.
  • Records, sorts, assembles, and files information on specific projects, facilities, contracts, financial documentation, current project, or studies.
  • Monitors inventory of office supplies and orders them when necessary, preparing the appropriate purchase requests and/or documents and routing through organization per policy or procedures for approval and purchase.
  • Properly account for supplies or services when performed and notifying appropriate official of receipt.
  • Prepares a variety of technical presentations, performs basis analysis of security and program information. Processes critical program data in proprietary databases.
  • Have the ability to take raw information, in put in specific locations for archive, and retrieval, and reporting purposes, and create various reports from the information in the various locations using whichever format (i.e., Access, Microsoft Office Excel and pivot tables) they feel is appropriate, or as instructed. For example, current but not inclusive, databases include Modified Infrastructure Security Tool (MIST), Facility Security Assessment (FSA) tracking databases, and Enterprise Information System (EIS).
  • Monitors, coordinates, and maintains a variety of records. Extracts information, enters it into databases, manipulates it to determine if trends or patterns exist, and generates various management reports used in decision making.
  • May assist users in the organization with software, hardware, and automation problems.
  • Performs other office automation work, solely or in combination with clerical or technical work performed as part of the general office support duties.
  • Uses computer software to produce, store and retrieve a variety of documents, including spreadsheets, databases, and graphics.
  • Receive/retrieve daily incoming mail (off-site U.S. Post Office where necessary, using Government furnished vehicle), time and date stamp, and distribute efficiently and accurately.
  • Deposit/deliver daily outgoing mail into appointed receptacles and/or local U.S. Post Office.
  • Arrange for express document/package services when necessary, i.e. Federal Express, UPS, etc.
  • Reviews incoming miscellaneous materials, including directives, mail, publications, etc. and forward to appropriate organization or individual.
  • Maintains suspense date for replies and follows up on overdue correspondence or taskings, i.e.,
  • DHS/NPPD ESTT (current DHS standard). Routes non-controlled materials to organization by address, office symbol, subject matter content, organization code, or appropriate method.
  • Responsible for sorting and arranging records in file cabinets and filling folders in

accordance to either an approved records management file plan, numbering systems or alphabetical order. * Assembles records to ensure that material on specific transactions or subjects are kept together.

  • Maintains reception office area and greets/directs visitors to appropriate staff. Receives call from customers, FPS personnel and public, and addresses requests for information, building services and DHS/NPPD/FPS services.
  • Ensuring that coverage of reception area is staff 100% during a business day.
  • Possess and demonstrates advanced proficiency and competence in computer skills, specifically in Microsoft Windows office programs (Excel, Word, Access, Outlook, Visio, and PowerPoint), Adobe, and has the ability to learn and become proficient in various DHS/NPPD/FPS computer programs and applications after initial training and orientation.
  • Capable of operating routine office equipment, such as scanners, copy machines, fax machines, and other miscellaneous office equipment.
  • Assist FPS Property Custodian Officers (PCOs) and/or the Accountable Property Officer (APO/AAPO) in the completion of DHS/NPPD/FPS personal property inventories and associated paperwork and files per agency policies. Performs equipment and uniform inventory for the specific organization assigned.
  • Assists Government Purchase Card holders tracking invoices, documentation, and purchase card transaction worksheets, and in responding to Purchase Card audit requests from related to the Purchase Card Program through maintenance of financial transaction logs and records.
  • Performs Internet market research, security research, and other related searches as requested and/or necessary.
  • Basic analysis of security data, and creation of multiple sensitive security documents for management.
  • Process Central Violations notices (CVB Violations) notices to CVB (Central Violations Bureau) in the Region (Colorado, North Dakota, Montana, South Dakota, Utah, and Wyoming).
  • Performs other miscellaneous duties such as making travel plans, assisting Government employee in the preparation of travel authorizations and expense reports, maintaining time and attendance reports, taking fingerprints of individuals requesting background clearances based on agency procedures, and making copies.
  • Maintains a Desk/Reference Guide for their position.

TECHNICAL SKILLS, EXPERIENCE, AND MINIMUM REQUIREMENTS

  • Advanced knowledge and demonstrated proficiency in Microsoft Office products (Excel, Word, Access, Outlook, Visio, and PowerPoint).
  • Employee must be up to date on current version of software that government provides on system to accomplish workload. ·
  • Advanced knowledge and demonstrated proficiency of Adobe product.
  • Effective communication skills (both written and verbal) with the ability to prepare and make group/executive presentations.
  • Resourcefulness, initiative, and skill to function in a fast-paced environment.
  • Attention to detail in goal/task accomplishment with minimal oversight.
  • Professionalism and the ability to interact effectively with others.
  • Ability to meet planned and unscheduled deadlines in a timely manner.
  • All contract personnel will be required to undergo a background suitability clearance (HSPD-12) by DHS Office of Professional Responsibility, prior to report to work and maintain this suitability clearance. ·
  • All personnel shall be able to work independently.
  • Adequate supervision shall be provided by the contractor to ensure successful performance under this task order.
  • High School Diploma or GED/Some College
  • 2 years’ experience in an office setting
  • Must be able to pass Federal Background Check

Compensation: $21.21 plus $4.23 Health & Welfare Benefits
