COMMUNICATIONS COORDINATOR
REPORTS TO: Operations Manager
PRIMARY ROLE: Serve as the initial point of contact for all agency visitors and coordinate agency communication; phone calls, mail, and email.
PERFORMANCE STANDARDS:
Provide courteous service to clients, carrier personnel and peers. Accurately direct incoming and outgoing agency communication; phone calls, mail, and email.
SKILLS REQUIRED:
- Strong organizational skills, ability to discern priority, and take initiative
- Excellent verbal and written communication skills.
- Strong attention to detail. Accuracy in matching communication to intended recipient or appropriate client file.
- Above average knowledge of Microsoft Word, Excel and Outlook.
- Ability to learn web-based software and insurance carrier websites
DUTIES:
- Open and close main entrance daily
- Activate web-based switchboard by 8:00 a.m., turn on after-hours service at 5:00 p.m.
- Answer and direct incoming calls in a timely manner.
- Greet visitors and maintain log of arrivals and departures. Announce visitors to host and staff when appropriate
- Provide callers with information such as company address, directions to the agency, company fax numbers, company website, and other related information.
- Sort incoming mail and direct to appropriate recipients using a barcode scanning system.
- Direct incoming emails to appropriate recipients. Utilize Outlook rules whenever possible to automate the process.
- Download daily personal lines transactions from multiple carrier websites into the agency management system. Obtain commercial policies, endorsements, and company correspondence from various insurance carrier websites, attaching in the agency management system, and directing to the correct recipients.
- Monitor and maintain supplies; office (pens, paper, etc.) and hospitality (coffee, water, etc.).
- Manage business card for staff, order for new employees, reorder for existing staff.
- Collect daily outgoing mail and apply appropriate postage. Monitor postage machine balance.
- Maintain, document and balance petty cash account transactions.
- Organize and complete daily deposit of receivables based on established accounting procedure.
- Initiate and or assist with customer and prospective customer mailings.
- Participate in additional projects as requested by management.
Job Type: Full-time
Pay: $15.00 - $18.00 per hour
