The role of Front Desk Liaison is a fast-paced receptionist role. This position is the first impression we make on visitors and many customers. Because of this, it’s crucial that the candidate has a friendly and easy-going personality, as well as a professional and welcoming demeanor. This role is also responsible for customer and employee order pick up, so the ability to keep updated and accurate records while managing priorities is a must.

In addition to the receptionist and clerical duties at the main entrance, our Front Desk Liaisons are tasked with working closely with security personnel to allow employees and customers in and out of the building, while upholding strict security and safety practices. This person is also responsible for routing inbound phone calls to our Operator line.

The ability to stay calm in high-stress situations is crucial, due to balancing priorities of customers and employees. This employee is also expected to perform tasks with an air of confidentiality due to sensitive customer and employee issues. The ideal candidate will be able to fluctuate between high and low work volumes while remaining attentive and detail oriented. This role partners with several other departments create enjoyable experience for customers and employees.

Essential Duties & Responsibilities:

  • Greet and welcome guests in a friendly, approachable manner.
  • Provide excellent customer service to all local and visiting customers
  • Be the primary source for Customer and Employee Order Pickup
  • Help to solve any customer issues and address any complaints.
  • Proactive outreach to customers to inform them of any upcoming changes.
  • Answer and correctly redirect all incoming Operator calls.
  • Partner closely with Security team to monitor guests entering and leaving the building, to uphold the highest level of safety and security practices.
  • Work cross functionally within the organization to ensure customer orders are routed accurately.
  • Maintain positive working relationships with all employees and customers.
  • Excellent ability to stay calm in high pressure situations.
  • Uncanny ability to multi-task as well while always prioritizing customer experience.
  • Maintain neat and presentable workstation, ensuring the area is always presentable to customers.
  • Ability to maintain updated and accurate records

Skills:

  • Excellent verbal and communication skills.
  • Expert knowledge of MS Office, specifically Word, Excel, and PowerPoint.
  • Ability to stay calm under pressure.
  • Creative problem solving and solutions-based attitude.
  • Great organizational and multi-tasking abilities.
  • Ability to work both independently and in a team-oriented environment.
  • Customer service oriented.

Experience:

  • Bachelor’s Degree in relevant field, or relevant work experience.
  • Minimum of 2 years in a fast-paced receptionist role.

Schedule Requirements:

Monday-Friday: 7:30am – 4:00pm

Holiday Requirements:

  • Blackout Dates: November 24-December 23rd
  • Ability to work some Saturdays during the holiday season.
  • Mandatory overtime during the holiday season, typically 1 additional hour per day.
