ROLE DESCRIPTION

As the Front Desk Assistant at the firm, you will be the first point of contact for nearly all visitors and colleagues. You will warmly welcome our guests, make these visitors comfortable, and in this way, be an ambassador of the firm. Given the startup nature of our organization, job duties can vary widely. Comfort with ambiguity and with shifting priorities are essential attributes for successful new hires.

This role is great for a self-starter who enjoys interacting with a diverse team and has been passionate about the climate crisis for some time. You will get exposure to a lot of different people and play a pivotal role personifying and amplifying our firm's culture as it grows. Finally, this role can accommodate either a candidate who has ambitions to develop over time into a role such as an Administrative Assistant or Recruiting Coordinator; or it can accommodate a candidate who wants to stay in a front desk capacity long term, as we understand and appreciate the value of this role, just as it is.

This position will report to the Director of Principal Operations and will require being in-person at our headquarters in downtown San Francisco, Monday through Friday. Because of the job responsibilities as detailed below, this role is not considered a hybrid or remote position.

RESPONSIBILITIES

  • Greet visitors and colleagues warmly and professionally. Sign for and handle deliveries. Coordinate front desk activities, distribute correspondence, and ensure office common areas are clean.
  • Keep track of supplies, office facilities, and equipment or vendor management
  • Provide ad-hoc support and PTO coverage within the wider administrative services team, including support with meeting scheduling
  • Build detailed, work-related travel itineraries for supported executives, arranging for travel and accommodation. When executives are traveling, some out of hours support should be expected.
  • Coordinate with IT to ensure that office IT equipment is working and that any issues are resolved on a timely basis
  • Support with building a team culture and organizing team social events

REQUIRED QUALIFICATIONS

  • Outstanding customer service and communication (listening) skills
  • References to confirm a track record of dependability, with regard to reporting to work consistently and on time
  • Relevant experience at a professional services or financial services firm
  • High school diploma or general education degree (GED)
  • Highly motivated to address the climate crisis
  • Comfortable multitasking, prioritizing tasks, and keeping organized
  • Proficiency in Microsoft Office and Google Workspace

OPTIONAL QUALIFICATIONS

  • Experience working with facility management vendors, including cleaning, catering, and security services
  • Experience managing executive calendars and travel arrangements
  • Event planning experience

COMPENSATION

  • Non exempt role, eligible for overtime
  • Base salary of $31.25 - $36.00 per hour, depending on experience and qualifications
