Administrative Assistant / Operations Lead

Small, well-established financial advisor office in Bellevue is seeking an on-site, full time administrative assistant and operations lead. The position will be approximately 40 hours per week with some degree of flexibility. We offer a comfortable and professional work environment. Our culture is client focused.

This position requires a candidate who is organized, able to work independently, has exceptional attention to detail, and enjoys assisting clients in servicing their account.

Candidate must be extremely accurate, able to handle multiple projects simultaneously, highly resourceful, and personable.

REQUIRED QUALIFICATIONS:

Minimum of 3 years office experience

High degree of accuracy and attention to detail

Proficient with Microsoft Office (Excel required)

Familiarity with client relationship management CRM databases (Redtail)

Ability to learn and retain new skills and concepts quickly

Strong planning and organizational skills

Ability to manage multiple priorities and deadlines

Highly resourceful and able to navigate websites with detailed informational libraries

Securities Licenses or willingness to obtain (SIE, Series 6 or 7, Series 66 or 63&65)

RESPONSIBILITIES/DUTIES:

Maintain client and business confidentiality with utmost care

Assist clients directly, handle customer service and client needs

Assist advisor in preparing for client meetings, gather and input data

Generating and processing paperwork

Database/CRM management, documentation, and tasks

Maintaining client files, and compliant record retention

Sending correspondence and processing mail

Due to the complex nature of the finance industry and a high level of regulatory oversight, there will be a substantial amount of learning and training required to effectively execute the duties of this position. Therefore, we are seeking candidates who are willing to commit to the position for at least one year.

Compensation will be evaluated based on experience. Starting at $60K/year. Quarterly bonus structure and retirement plan. Paid holidays and PTO.
