The Executive Office Assistant, under minimal supervision, provides non-routine executive-level support for the operation of the Office of the President and the overall operation of the College. The Executive Office Assistant provides gracious reception for the Office of the President, creating a warm, welcoming, and professional atmosphere for the office and its visitors.
This position serves as the office administrator for the Office of the President; supports the President and Executive Vice President on special projects as needed; facilitates meetings and visits hosted and/or coordinated by the Office of the President; and provides Office reception, including but not limited to answering phones, monitoring the Office of the President email account, routing inquiries appropriately, and greeting visitors. This position also provides support to the Executive Vice President; receives, tracks, and pays invoices; and assists with budget tracking. In the absence of the Executive Assistant to the President, provides backup services to support the President.
This position requires a high level of initiative; excellent interpersonal, written, and verbal communications skills; innovative problem-solving ability; and advanced technology proficiency. The Executive Office Assistant has regular interaction and coordination with Board of Trustees members; executive-level administrative and academic officers; prospective and major donors; parents of students and prospective students; community members; and the media, requiring the use of tact, discretion, sensitivity, and judgment.

- Ability to work independently using judgment and discretion to complete job duties, projects, and assignments with minimal supervision while maintaining complete confidentiality of records and all other matters discussed or overheard.
- Must possess a high level of interpersonal and human relations skills and the ability to interact appropriately with a wide variety of personality types.
- Must be flexible, professional, and respond appropriately in a variety of situations in an environment of competing and rapidly changing priorities.
- Advanced knowledge of computer hardware and software used in office administration; proficiency in Microsoft Word, Excel, e-mail, internet research, electronic calendar, data entry, and presentation software.
- Must possess excellent organizational skills and ability to support and coordinate the activities of others.
- Ability to assess workload and effectively prioritize and follow through on tasks in a fast-paced, high-profile environment.
- Ability to communicate effectively both orally and in writing using proper and appropriate English language and tone.
- Ability to plan, organize, and coordinate activities in a fast-paced and unpredictable environment where flexibility and adaptability are key.
- Knowledge of modern office practices, policies, and procedures.
- Must be a consummate professional.
- Ability to work regular established hours of operation and additional hours as business necessitates.
- Ability to appropriately infuse humor into everyday work is strongly preferred.
Minimum Qualifications
- High school diploma or equivalent and at least two years of college.
- Three years of executive administrative support experience in a fast-paced, high-profile executive-level office environment.
Preferred Qualifications
- Bachelor’s degree or higher.
- Experience in higher education, non-profit organizations, or arts/media organizations.
