Executive Assistant to CEO Job at Jorgensen Company
Jorgensen Company is looking for a positive and professional Administrative Assistant to join our team. Reporting to the CEO, you will perform a variety of tasks that will provide support not only to the CEO, but middle-managers and support staff company-wide, assisting in daily office needs as well as assigned duties.
Job Responsibilities
- Act as a point of contact for internal staff and external vendors/customers
- Answering phone calls and emails in a polite and professional manner
- Assist in the preparation of projects and reports
- Registering staff for trainings; coordinating travel arrangements for meetings and trainings
- Assign Purchase Orders for expenses
- Perform minor accounting duties
- Schedule fleet vehicle repairs and maintenance
- Organizing meetings, including scheduling and sending reminders
- Prepare agendas for meetings and make arrangements, such as coordinating catering for lunches
- Maintain confidentiality with sensitive matters
- Managing the Board Room and Training Room calendars
- Greet staff and customers in a courteous manner and always set/create a positive office atmosphere
- Able to multi-task projects and job duties through prioritization and organization
- Communicate with all regions to order office supplies, janitorial supplies, and misc. requests
- Promote positive employee morale by playing a key role in the Spirit Committee
- Perform general administrative duties such as but not limited to; typing minutes, filing, photocopying, scanning, faxing, emailing, mailing
- All other duties as assigned
Skills/Requirements
- High School Diploma, some college preferred
- 1 – 2 years of experience providing administrative support
- Strong communication skills with supervisors, peers, and customers
- Proficiency in MS Office (Excel and Word), 10-key, typing and data entry
- Time management skills, dependable, accurate and detail oriented, prioritize and reprioritize
- Self-motivated, able to work independently and as a team
- Bright, cheerful, helpful, have a sense of humor, problem solver, have a sense of urgency
Physical
Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight 20 lbs.; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; and to verbally communicate to exchange information.
