Executive Assistant to CEO (Part-Time)

As a Executive Assistant is responsible for providing comprehensive support to the CEO. This dynamic position requires anticipating needs, thinking critically, and offering solutions to problems with a high level of professionalism and confidentiality. This role will include frequent communication and interaction with senior-level personnel, investors, and clients. We have a completely remote team and are a family-oriented company with lots of growth potential.
Our ideal candidate is an experienced professional with at least 5+ years of experience supporting C-level executives.
This is a remote work from home position
Part time - 20hours per week:
9a-6p PST but must have flexibility outside of these hours please.
Skills / Experience Required:
- You are exceptionally organized with an extreme attention to detail.
- Expertise in Project Management Skills
- Ability to dynamically prioritize and troubleshoot conflicts; anticipates challenges and proactively addresses them
- You have excellent English communication skills both written and verbal.
- Ability to collaborate effectively and partner closely with others internally and externally to follow through and achieve results.
- You have a positive, “no task is too big or small” attitude with a strong ability to embrace change at a moment’s notice, shifting priorities instantly to meet tight deadlines and objectives.
- You are solution-oriented and a creative problem solver
- You have previous experience working 100% remotely with virtual teams
- Experience working remote with a CEO/C-Suite
- You are available to work M-F and are available between 9:00 am - 5:30 PM PST
What the role entails:
- Serve as the point of contact for internal and external contacts on matters pertaining to the CEO, comprehensive support to the CEO and completion of shared role accountabilities.
- Provide sophisticated calendar management for the CEO to optimize time management. ○ Prioritize conflicting needs and requests while troubleshooting conflicts
○ Make judgements and recommendations to ensure smooth day-to-day engagements. ○ Handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.
- Research, prioritize, and follow up on incoming issues and concerns addressed to the CEO, including those of a sensitive, highly confidential and critical nature. Determine appropriate course of action, referral or response, exercising judgment to reflect CEO’s style and organizational policy/philosophy/culture.
- Complete a broad variety of work that facilitates the CEO’s ability to effectively lead the organization, including:
○ Managing CEO's correspondence, including CEO’s email correspondence and inquiries, (triaging and drafting responses);
○ Ensuring CEO is prepared for upcoming meeting by collecting, prioritizing and preparing information/materials for upcoming meetings;
○ Manage CEO’s speaker applications and follow up to secure speaking engagements, brand assets and social media posts related to CEO;
○ Designing and producing complex documents, reports, and presentations;
○ Composing and preparing correspondence;
○ Creating and maintaining contact lists;
○ Making complex and detailed travel arrangements and completing travel reports; ○ Utilizing extensive knowledge of the organization to collaborate with partners and resolve questions and issues;
○ Assisting with meeting agendas and managing logistics for high-level meetings and events
● Provide event management support, as needed.
● Proactively identify process improvements and opportunities to enhance support of the CEO.
● Flex to complete various assignments and additional duties to ensure comprehensive and effective support.
Technology experience preferred:
- Canva
- Word, Excel, Keynote/PowerPoint, Google Workplace (Google Docs, Google Sheets & Google Drive)
- Zoom
- ClickUp
- Slack
- Project Management Certification
