Job Summary
The Executive Coordinator (EC) directs and performs all administrative, financial, and operational activities for the Chief Executive Officer (CEO) and Chief of Staff (CoS), including directly supporting the CEO as the leader and primary external spokesperson for Adasina Social Capital, an asset management firm that specializes in social justice investing. The EC primarily supports the CEO and secondarily supports the CoS, who serves as the EC’s formal supervisor.
To fulfill the requirements of their role, the EC must independently organize and prioritize critical information required for the CEO to facilitate efficient decision-making and manage the administrative interactions between the CEO and other stakeholders. In addition, the EC supports the CEO and CoS in crafting effective internal communications to support strategic planning and management initiatives. The ideal candidate must be able to provide advanced administrative support to the CEO to maximize productivity and efficiency.
Details of Role
EXECUTIVE ADMINISTRATIVE, FINANCIAL & OPERATIONAL SUPPORT (60%)
- In collaboration with the CEO and CoS, determine executive support goals and identify, proactively perform, and track the activities required to meet those goals
- Identify and assist the CEO and CoS in coordinating firm-wide and multi-team work; independently create and maintain detailed timelines for multiple overlapping projects and perform follow-up
- Perform all administrative, financial, and operational functions on behalf of the CEO and CoS. These responsibilities include, but are not limited to, the following activities:
- Actively managing high-volume email and social media inboxes; prioritizing, sorting, and identifying high-importance incoming messages and proactively respond to incoming communication based on timeliness and issue sensitivity
- Actively managing multiple individual and team calendars to meet strategic objectives
- Creating agendas, preparing and transcribing meeting notes, debriefing from notes to follow-up on deliverables, and performing follow-up action items for internal and external meetings
- Preparing and submitting receipts and expense reimbursements
- Making full domestic and international travel arrangements
- Maintaining thoughtful and consistent file organization for relevant documents within Google Workspace
- Support the CEO as the highest corporate officer of the firm. This includes reviewing and managing contracts, reviewing corporate documents, and other related functions
- Support the shared work of the Strategy Team, including preparing meeting agendas and taking notes, managing the shared calendar, and facilitating communications across sub-teams
- Research, track, and provide the CEO and CoS with key firm and external information in preparation for upcoming meetings or presentations
- Perform limited personal calendaring and management tasks to increase CEO capacity
- Support the CoS in creating, managing, and using processes and systems that carry out CEO Office activities that are key to meeting team outcomes
COMMUNICATIONS SUPPORT (40%)
- In collaboration with the CEO and CoS, identify internal and external communications goals and identify, perform, and track the activities required to meet them
- Partner with the Communication Department to manage CEO events and media speaking engagements. This includes planning for upcoming events, as well as understanding the nature of these events and the CEO’s needs to ensure the CEO is fully prepared to represent Adasina.
- Support the CEO in their role as the most senior internal and external representative of the firm. These responsibilities include:
- Develop a wide variety of CEO presentations and accompanying visual aids with support from the Marketing & Business Development Team
- Collaborate with other team members to develop written communications from the CEO’s perspective on current events and matters of firm importance to the firm
- Efficiently prioritize and respond to various forms of incoming interest, identify CEO-exclusive opportunities, and diplomatically coordinate introductions to appropriate Adasina staff members for others
- Serve as an administrative and communications conduit between the CEO and internal groups. This includes developing materials and tools to effectively communicate strategic planning and management initiatives across the firm
Requirements
- Bachelor’s degree or higher educational achievement
- 3+ years’ experience providing professional and personal support to C-suite executives
- Google Workspace experience, with high proficiency in Gmail
- 3+ years of relevant work experience in asset management or an investment-related industry
- Stellar written, verbal, and visual communication skills
- High attention to detail and consistent commitment to accuracy
- Ability to independently prioritize competing responsibilities and negotiate tradeoffs between speed and accuracy
- Exceptional project-management and time-management skills
- Insightful, independent, and resourceful problem-solving abilities
Preferred Qualifications
- Experience with Monday.com or similar project-management operating system
- Willingness to learn new skills and systems and collaborate in other areas as needed
- Experience managing relationships with diverse groups of people
Job Type: Full-time
Pay: $85,000.00 per year
