Position Summary
Augmenting the value-add support to lawyers is foundational in making the lawyers more productive and in providing high quality client service. Today's Executive Assistant (EA) role delivers further value in the following ways:
an integrator / facilitator connecting work streams; and
a communicator linking the leadership team, clients and the broader organization.
Essential Functions
Supports a senior partner with calendar, case management scheduling, and handling general litigation secretarial duties, according to RS policies.
Will additionally support a group of lawyers as assigned;
Preparation of court documents, service documents, and related litigation forms.
E-filing court documents.
Prioritizes and organizes tasks, streamlines operations to the appropriate personnel, acts in a proactive manner;
Works as a team player with other EAs, coordinates with service departments, follows procedures to deliver high quality outcomes;
Resourceful and adept at acquiring new skills;
Approaches work with the mindset of continuous improvement;
Works with service groups such as travel management and expenses, event management;
Supports the client billing process;
Understands nature of legal work and how it relates to specific clients;
Client relationship management and communication;
Internal communication management throughout practice team;
Meeting attendance and note-taking as required;
Phone management, including coverage to ensure 90% of calls are answered;
Resolution management / problem solver – workflow, technical issues, etc.;
Email screening and prioritization, meeting planning and preparation;
Document management; and
Calendar / diary / complex schedule management.
Requirements
Skills: Must possess: high technical aptitude including proficiency of MS Office (Word, PowerPoint, Excel, DigitalFile); excellent judgment, time management, project management and client service skills; superb interpersonal and communications skills; proactive, problem solver with impeccable judgment; responsive, resilient and resourceful; high attention to detail with a drive for excellence and quality; calm under pressure; self-starting, positive team player; ability to multi-task; multi-disciplinary; and ability to maintain confidentiality.

Equipment To Be Used: Personal computer and other office equipment such as telephone, calculator, fax, machine, copier, scanner, etc.
Typical Physical Demands: Manual dexterity sufficient to operate standard office equipment.
Typical Mental Demands: Able to work effectively in a fast paced environment. Make judgment decisions and adapt to changing work situations. Grasp and apply new ideas. Communicate with various personalities at all levels.
Working Conditions: Works in typical office setting. Occasionally called upon to work hours in excess of your normal daily schedule.
