We are looking for an experienced Executive Assistant to join our growing team! This is a hybrid role and can be based out of our Bethesda, MD, or Carlsbad, CA offices.

Executive Assistant to the Executive team:
- Design administrative efficiencies to support the executive team
- Heavy calendar management for Executive Team members, including but not limited to:
- Weekly travel both domestic and international
- Various Board Meetings, Committee Meetings, Executive Staff Meetings, and Internal Employee Meetings
- Schedule meetings with multiple attendees in the US and internationally via conference call with Teams, Zoom, or other conference tools
- Act as liaison to Board. Frequently interact with Board members’ administrative staff to organize Board meetings and events
- Proactively responsible to book, monitor, manage and change, when necessary, all travel across the Executive team
- Flights, rental cars, car service, train reservations
- Manage and execute expense reports, ensuring proper approval and timely payment
- Communicates frequently with the Executive Management team on various issues including meetings and events, business travel, and CEO schedule
- Perform special projects of various natures to support the executive team and
- File, audit, organize, and scan various records which may include confidential and highly sensitive material, using discretion and maintaining high degree of confidentiality
- Assists Executive Management Team as needed
Budget Management / Event Planning
- Manage specific line items of the corporate budget, as directed
- Ensure invoices are processed promptly to correspond with the budget
- Plan and execute company events and offsite meetings for 100+ people (Includes researching venues, negotiating contracts, food, beverage, and logistics)
- Global Sales Meetings, President’s Club, Anniversary Parties, Mid-year Sales Meetings, Quarterly Review Meetings, Holiday Parties, and other events as they arise
- Manage internal and external meetings including space acquisition, AV and IT logistics, preparation of presentations (PowerPoint, Excel, and Word), food and beverage, set up and clean up
Who You Are (Education and Qualification Requirements):
Minimum Required Qualifications:
- Bachelor’s degree or equivalent experience
- Three to five years of experience supporting a C-level executive
Other Required Qualifications:
- Exceptional organizational, customer service, interpersonal communication, and negotiation skills with the flexibility to thrive in a fast-paced, changing environment and the ability to actively participate and sometimes lead cross-functional teams
- Confident, well-organized, self-starter capable of multi-tasking, prioritizing, decision-making, and working independently with little supervision
- Strong written and verbal communication skills with the ability to type 60 wpm
- Proficiency in Microsoft Office including Microsoft Word, Excel, Outlook, and PowerPoint.
- Experience in meeting and planning large events for 100+ people
- Positive attitude and ability to adapt to change easily.
- Ability to support the Executive Administrator, as needed.
- Ability to exercise discretion, confidentiality, and professionalism in handling highly sensitive information at all times.
Preferred:
- Prior experience with Concur Solutions
- Prior experience working within a company owned by private equity
The anticipated salary range for this position is $70,807-$106,210. Equity and benefits may be provided as part of the compensation package, depending on the position offered. As this is a range, the exact salary offered will depend on multiple factors, which include the successful candidate’s skills, experience, geography, and qualifications. In addition to base salary, some roles may be eligible for a variable bonus based on a combination of company performance, employee performance, and management discretion
