Mulberry Talent Partners has joined with our client, a company located in Portland, OR to identify an Executive Assistant and Administrative Manager. This is an onsite, full-time, direct hire role. The Executive Assistant and Administrative Manager manages the employees and work performed by the Executive Administration department, Administrative Services department, Records Administration department, On-call staff, and Travel department. The ideal candidate is a self-starter who takes initiative and is proactive.

Your Role:

  • Manage the Administrative Services Department (Corporate Receptionist, Mailroom Technician), Records Department, Travel Department, and On-Call staffing and Executive Administration Team including recruiting functions, onboarding, and training of staff.
  • Provide mentoring, coaching, and performance management for direct reports by setting goals, deadlines, and tasks to ensure support and operational needs are met.
  • Oversees the daily operations of assigned departments by creating and monitoring budgets, expenses, creating policy and process improvements, ensuring department compliance, and collaborating with other departments.
  • Maintains high level involvement in executive meetings and strategic planning sessions as well as acting on behalf of senior management in their absence.
  • Manages and approves contractual agreements and maintains vendor relationships relating to department and administrative management.
  • Manages event bookings from inception to completion for all work-related quarterly events both on- site & off-site, including preparation of meeting material and content.
  • Plans, schedules, and promotes office events, including meetings, conferences, interviews and offsite training sessions for organization.
  • Administrator for organization Grant program.
  • Manage multiple tasks simultaneously and handle sensitive and confidential information in a discreet manner.
  • Ability to coach and mentor staff for performance excellence.
  • Manages and works closely on projects from inception to completion.
  • Work independently in a fast-paced environment.
  • Be flexible, detail oriented, and anticipatory of needs.
  • Be nimble and adapt to needs of Executives or team members.
  • Ability to work with all staff levels demonstrating appropriate assertiveness and coaching.
  • Knowledge of basic business and management principles as applied to leadership, staffing, strategic planning, and human resources.
  • Organizational skills, a good gatekeeper, and strong ability to multi-task.
  • Will have 10-12 direct reports across 3 different departments. This person will support other EAs, and step in for others when they are out of office. Direct reports/departments include the Executive Administration department, Administrative Services department, Records Administration department, On-call staff, and Travel department.

You Bring:

  • Must have HS Diploma.
  • Minimum of 5 years as an Executive Assistant in a large corporate environment.
  • Minimum of 3 years as an Administrative Manager in a fast-paced organization.
  • Advanced proficiency of all MS Office products, including Word, Excel, Outlook, and PowerPoint.
  • Advanced proficiency using Zoom and MS Teams.
  • Covid-19 vaccine required.

Compensation Rate: $100,000 - $115,000 annually plus benefits

Job Type: Full-time

Pay: $100,000.00 - $115,000.00 per year
