Executive Administrative Coordinator
WHAT YOU WILL ACHIEVE
The Executive Administrative Coordinator will help to support and enable a high functioning Senior Executive team at Addgene. This is a high-visibility role that is uniquely positioned to ensure the success of the Senior Executive team by maintaining healthy collaboration. The EAC will help drive our mission and have a positive impact on our culture.

This position will work out of our Watertown, Massachusetts Headquarters with the opportunity to work hybrid. Our beautiful office space has ample parking with a free shuttle from Harvard Square and is on multiple bus lines, with the cost of public transit covered by Addgene.

In joining our team as an “Addgenie”, you will work with multidisciplinary internal teams to help fulfill this mission, including scientists, software engineers and product developers, renowned customer support teams, marketing gurus, and business development professionals. Together, Addgenies create and enhance opportunities for research scientists to deposit their materials, find products and resources easily on our website, and receive unparalleled support in receiving and expertly using our materials in their own experiments.
To Succeed in this Role, You Will:
- Support the Executive Director and Senior Executive team as a trusted partner to facilitate information flow in a timely and accurate manner
- Coordinate Board of Directors and Board committee meetings including scheduling, preparing and gathering documents for review, and distributing materials
- Perform administrative tasks including drafting letters, memos, invoices, reports and other documents
- Manage the Executive Director's calendar and assist in scheduling meetings and travel
- Organize office wide events including trainings, celebrations, team lunches, All Addgene meetings, etc.
- Attend meetings as requested, including taking and publishing minutes
- Assist organization quality assurance efforts by maintaining training records
- Be an Ambassador of Addgene headquarters, creating a warm, welcoming environment to guests, vendors and employees.
- Open, sort and distribute incoming mail
- Provide a supportive and positive environment and pitch in when necessary, modeling a spirit of collaboration
- Want to learn new things and be flexible in taking on additional responsibilities
Skills and Competencies
- Extremely proficient with Google Suite (Drive, Docs, Sheets, Slides, Forms)
- Tech-savvy in general - especially around organization of files, working with various document types (PDF, Word, Google Doc, Excel), and creating slides for presentations
- Independent employee who takes initiative, and is able to suggest improvements as well as develop creative solutions
- Demonstrates excellent judgment and maintains discretion in handling confidential information
- Strong attention to detail and follow through
- Outstanding organizational and time management skills
- Ability to shift, focus, and prioritize when necessary
- Proactive and able to regularly anticipate needs
