COVID-19 Clinical Program Assistant Manager Job at PMHCC Inc.
Position Summary:
The Philadelphia Department of Public Health (PDPH), through its COVID-19 Containment unit, is responsible for monitoring COVID-19/SARS-CoV-2 exposure within Philadelphia and determining appropriate mitigation strategies. In order to do this, PDPH has expanded the City’s surveillance and detection capabilities to ensure that cases of COVID 19 in Philadelphia residents are quickly identified and investigated. This involves working closely with schools, early childhood education centers, and other pediatric stakeholders to help respond to emerging COVID-19 cases and provide mitigation guidance.
The Clinical Program Assistant Manager will provide administrative and logistical support to Division of COVID Containment Clinical initiatives. This includes tracking program objectives, coordinating trainings, documenting meetings, supporting administrative and logistical aspects of hiring and onboarding of new staff, and working closely with the Program Manager and Chief of Staff to ensure activities are successfully executed.
During surge periods, this position may require flexibility to support tasks outside of your standard work duties, including in person support of vaccination, testing, and community events. Surge periods may also require the flexibility to work evenings and weekends, which Division leadership will work cooperatively with staff to arrange and assign. The position is grant funded for a minimum of one year. Continuation of the position is dependent on sustained grant funding.
Duties and Responsibilities:

Assist the Clinical Program Manager in supporting program logistical, administrative, training, and staffing needs

Monitor Clinical Program workflows to ensure processes are running smoothly, staff are supported in reaching desired outcomes, and changes are implemented effectively

Coordinate hiring and onboarding of new staff, including facilitating training Facilitate inter-division partnerships, including identifying clinical support needs of various programs and organizing interdisciplinary trainings to support ongoing development of Division staff

Manage Clinical team scheduling by monitoring Division clinical needs, maintaining master schedule, and organizing staff time off requests to maintain coverage and resolve conflicts PMHCC

Oversee team functionality and resource needs, creating long term frameworks for team growth and branch objectives

Monitor logistical needs of Clinical team and staff participating in Clinical trainings, including appropriate pre-training content, gathering necessary documentation, and arranging appropriate materials for any in-person framings

Engage with program staff to understand their experience of their work, barriers to success, and any support needed in order to provide necessary and available assistance

Serve as primary liaison for partnerships with outside stakeholders as assigned

Schedule and document meetings, trainings, and other events as they occur

Support program activities related to outbreaks of other infectious diseases such as monkeypox
Skills Required:

Working knowledge of Microsoft Office applications and the ability to access and navigate various databases and software programs following training

Education and Experience:

Master’s degree in public health or related field preferred OR Any combination of education and experience deemed acceptable

Two years of work experience in a professional setting required
