Summary: Provides high-level administrative and logistical support to ASTHO's Executive Office, working directly with the CEO, Deputy Chief Executive Officer, and senior leaders within the Executive Office. Coordinates activities that support implementation of ASTHO’s strategic plan and performance management system.
Location: Remote with occasional administrative and meeting support in the Arlington, VA headquarter office.
Anticipated salary: $56,000 Extended experience: up to $64,000 if experience exceeds expectations
Principal Functions:
Maintain confidential and sensitive information.
Assist in collecting, entering, and updating data in spreadsheets. Monitor spreadsheets for errors and perform quality checks, following up with staff when needed.
Update forms and trackers that support the organization’s performance management system.
Serve as a liaison between Executive Office and staff, responding to questions related to the performance management system.
Assist governance staff with committee and voting functions as needed.
Provide support for cross-cutting departments as needed with scheduling, calls and distribution of important correspondence.
Maintain and update relevant website and intranet information.
Assist with budget tracking and contracts management.
Schedule, organize, and participate in meetings, calls, webinars, and other gatherings. Manage and track contact information and participants list.
Work closely with meeting planning staff to coordinate meetings and provide on-site logistical support. Arrange travel and prepare related itineraries, expense reports and reconciliations.
Prepare, edit, and distribute documents and professional correspondence. Take meeting notes and distribute, as appropriate.
Manage individual and team calendars.
Perform research and prepare briefing materials and/or written summaries of matters of interest to the Executive Office.
Create, organize, file and maintain accurate electronic files and hardcopy folders.
Perform general administrative support such as updating worksheets and PowerPoint presentations, troubleshooting computer problems, photocopying, faxing, and mailing.
Provide back-up support to other coordinators at ASTHO, which may include the front desk reception.
Ability to participate in after-hours work and/or weekends as needed to support events, conferences, and other functions.
Occasionally report to the Arlington, VA headquarter office for operational and logistical/AV meeting support.
Qualifications:
3+ years in a similar position providing administrative/office and customer service support.
Experience working for membership association or grants funded organization.
Excellent computer skills including Microsoft Office Suite.
Excellent interpersonal skills.
Experience working with spreadsheets and data tracking preferred.
Ability to manage diverse priorities with positive outcomes.
Willingness to work on projects across the department.
Flexibility in reporting to the Arlington, VA office for occasional operational and meeting support.
