Position Description:
The Communications Coordinator works within the Communications Team to fulfill department and agency administrative needs, facilitate and coordinate projects, manage print and branded materials, and provide content support to the Communications Department.

Communications Department Administration:
- Monitor multiple agency email accounts, respond and delegate as appropriate.
- Monitor, prioritize, gather additional details and respond to new project requests using Google Forms and emails; coordinate needed information and facilitate project pipeline.
- Track communications invoices and approvals; work with accounting to process timely vendor payments.
- Prepare messages in WiseStamp according to the Communications schedule or on request.
- Organize electronic files and images, including media release forms.
- Maintain organized hard copy and digital files; clean and archive to shared folders.
- Monitor print vendor inventory, coordinate with operations monitoring and ordering process.
- Provide administrative assistance to the Director, including scheduling, meeting minutes, email inquiry responses and other.
Agency Administration and the Organization
- Maintain print materials ordering site inventory & restocks; monitor fulfillment site stock and assist with new and restock orders.
- Manage order through delivery process and communicate timelines and status updates with agency staff. Work with administrative office teams to confirm shipments and notify staff. Track orders, counts, cost, usage, and timelines by department.
- Inform & respond to internal staff inquiries.
Project Coordination& Facilitation:
- Coordinate projects with contracted vendors.
- Research award opportunities and coordinate submissions including nominations for Heart of Hospice, PRSA, BBB, and more.
- Work with Director and CDCO to coordinate monthly Community Education Series and other community engagement opportunities.
- Monitor advertising and editorial deadlines, collect and edit contributions, facilitate advertising submissions.
Agency Communications:
- Work with Director, Manager and internal staff contributors to coordinate print advertising, digital marketing, and other media partnership content, including for radio show/podcasts, print and digital editorials and other content as requested.
- Maintain updated media partner distribution list; draft press releases, facilitate review, approval and distribution.
- Manage digital content across online platforms (ie: google reviews, website, social media); monitor, triage and respond to engagement.
- Maintain content on peripheral sites, ie: Vimeo, You Tube, etc.
Materials Management:
- Maintain print materials ordering site and order reprints as necessary; process print projects for department and agency.
- Comprehensive editing/proofing and copy drafting as requested.
- Work with outside vendors to maintain brand standards for uniforms and logowear, marketing collateral, and other branded items.
- Assist Business Development with incentive choice selection, ordering, and dissemination, serving as a go-between with vendor.
- Maintain inventory of marketing collateral as budgeted.
Communications Content Support:
- Assist Manager in drafting, editing, preparing images for, scheduling and batching/posting social media content. Maintain social media calendar across platforms and complete site/profile maintenance.
- Support Content Specialist in the solicitation or staff-contributed content across departments for internal and external communications, including for staff newsletter, staff Intranet (Wordpress), agency blog, and community newsletter.
- Maintain organized Story Bank database (Excel) including leads/information sent by staff; distribute, collect and organize signed consents; attend agency events to take photos, organize and distribute for use.
- Design basic ad-style graphics (Canva) used across internal/external communications, including images and designs used in agency newsletter, staff newsletter, staff intranet, web-based advertising, social media, Annual Planner and other projects as needed.
- Perform basic website functions (Wordpress), including calendar, blog scheduling, minor content updates, preparing optimized images, and scheduled maintenance
The Ideal Candidate Will Possess the Following Requirements:
- High school diploma or GED certificate
- Bachelor’s degree in English, journalism, marketing, or a related field preferred (or equivalent experience)
- 1+ years’ experience in communications, marketing, or related role
- Healthcare/hospice industry experience strongly preferred
- Superior time management and organizational skills and ability to meet deadlines
- A strong attention to detail and consistency, and ability to think critically
- Advanced writing, proofreading, editing and interpersonal communication skills
- Ability to work both independently and as part of a team
- Familiar with MS Word, Excel and PowerPoint and capable of creating visually compelling presentations and graphics using Canva or similar
- Proven knowledge of communications and marketing ethics and best practices
- Proficient in use of Wordpress for web content updates and basic site maintenance
