GENERAL DESCRIPTION:
The purpose of the COVID-19 Provider Support Specialist position is to provide coordination, support, and assistance in all aspects of simple to somewhat complex projects and activities related to the COVID-19 Vaccination Program. This includes supporting staff who also work with the Program to ensure activities are in accordance with guidelines established by the Immunization Unit and the Centers for Disease Control and Prevention (CDC). Primary responsibilities for this position include reviewing and filing monthly report forms from more than 130 providers, contacting providers to discuss inaccuracies or incomplete reporting, providing education, working in the Vaccine Tracking System (VTrckS), and assisting with other vaccine issues. Other duties include providing basic technical support to users of the Wyoming Immunization Registry (WyIR).

- Monitor provider reporting requirements and provide assistance on COVID-19 vaccine-related issues.
- Review and file provider temperature logs.
- Review Short-Dated Vaccine Transfer Requests and assist providers with arranging transfers, when possible.
- Work in VTrckS to process vaccine returns, update the Provider Master Records, and other duties as assigned.
- Verify data and notify providers if any reporting data is incomplete or inaccurate.
- Respond to and document policy questions from providers
- Ensure providers are completing monthly reporting accurately and in their entirety.
- Inform the Public Vaccine Program Manager of non-compliance issues so appropriate action can be taken.
- Maintained provider database, WyIR, and VTrckS.
- File provider enrollment and reporting documents.
- Answer and route telephone calls and operate a fax machine.
- Provide essential technical support for the Wyoming Immunization Registry (WyIR)
- Maintain knowledge of WyIR features and functions.
- Provide user training to WyIR users when directed to do so by the Public Vaccine Program Manager.
- Review WyIR provider information to ensure accuracy.PVP Compliance Support
- Monitor the COVID-19 provider enrollment process.
- Enroll new providers into the COVID-19 vaccine program, following the established process.
- Monitor completion of the annual enrollment process.
- Ensure all providers have current agreements in place at all times.
- Communicate the progress of the enrollment process and provider staff changes to the Public Vaccine Program Manager and other Immunization Unit personnel.
- Develop and Implement Strategies for Successfully Achieving Grant Objectives.
- Ensure compliance with state and federal guidelines and strategic plans.
- Report progress and issues related to achieving federal grant objectives to the Immunization Access Manager.
- Collect and compile data, make analyses and determinations relating to the feasibility of undertaking specified projects, and for performance reporting.
- Meet regularly and collaborate with other employees within the Immunization Unit to ensure efficient operations.
- Provide exceptional customer service and regular communication with immunization stakeholders and incorporate customer satisfaction in all program activities.
- Identify and partner with key stakeholders.
- Ensure Proper Storage and Handling of Publicly-Supplied Vaccine.
- Serve as backup for temperature excursions involving the COVID-19 vaccine by reviewing, evaluating, and making a determination on temperature data submitted by providers to assess the safety and viability of vaccines.
- Compile data, analyze root causes, document, and communicate findings to providers.
- Report any non-compliance activities to the Public Vaccine Program Manager.
- Other duties as assigned.
PREFERENCES:
Preference will be given to candidates with an associate’s degree in Business plus 0-2 years of progressive work experience OR 2-4 years of progressive work experience in Business/Office Communications.
