Overview:
The Accounts Payable Associates is responsible for making timely payments of vendor invoices and processing expense reports.
Responsibilities:
AP Invoice Processing
  • Reconcile statements and process invoices for designated vendors within JDA and MAS system
  • Process credit/debit memos for designated vendors.
  • Process DC credits for the department.
  • Process RTV deductions for the department in AZ and VA databases.
  • Process telecom invoices.
  • Manual entry of invoices (non PO and PO) for MAS500, by batches.
  • Capital expenditure invoices processing for the department for all companies.
  • Use of dataporter in MAS 500 to upload any multi G/L line distribution invoices.
  • Process Weekly Upload for the Tax Department.
  • Research vendor statements and discrepancies.
  • Follow-up with vendors and VSI departments for resolution.
  • Maintaining and Scanning of processed invoices for archiving.
  • Process Customer Refunds
  • Process Freight Bills
  • Setup and maintain Vendor’s in MAS 500
ePayables
  • Process credit card payments online and on the phone for MAS 500 vendors.
  • Print epayables detail reports for monthly accruals.
T&E Accruals
  • Process monthly travel and transport uploads.
  • Process monthly accrual/T&E report for Finance department.
eRequestor
  • Create POs for the department.
  • Close POs for other departments as requested.
  • Post PO batches for the department.
  • Process Return of Goods
Other Functions:
  • Maintain A/P monthly department calendar
  • Sorting daily mail for A/P department.
Qualifications:

Education/Certification:

  • High School Diploma, GED or equivalent combination of experience and instruction

Required Knowledge:

  • Knowledge of accounts payable practices

Experience Required:

  • 1-3 years accounts payable experience

Skill and Ability:

  • Good communication skills
  • Accurate attention to detail
  • Excellent organizational skills
  • General office skills
  • Ability to work in a team environment
  • Professional demeanor to handle telephone calls
  • Proficient in Microsoft Word and ExcelINDCORP
