POSITION SUMMARY
Under the direction of the Associate Registrar for Technology and Operations, the Assistant Registrar for Records and Registration is responsible for managing the student registration process and maintaining the integrity of student records at the College. Additionally, the Assistant Registrar leads the process of updating the College Catalog and publishes it once per year. This position designs and implements course registration processes that ensure timely student registration for courses and eliminate barriers to student enrollment while ensuring compliance with federal, state, and financial requirements.
DUTIES AND RESPONSIBILITIES
- Supervise and lead assigned staff; conduct performance management, provide training, recommend professional development, and evaluate performance.
- Directly manage all operations related to the College Catalog, registration, academic records, final grading, and mandatory attendance reporting.
- Work closely with ancillary offices to facilitate the annual review and editing process for all policy sections of the College Catalog.
- Manage all communications to students from the Office of the Registrar regarding registration and federal compliance notifications.
- Manage all communications to faculty and staff from the records and registration team.
- Manage and/or monitor staff handling electronic transcripts to ensure quality of operations.
- Monitor staff working to maintain student records.
- Monitor the final grading process and ensure all grades are entered in a timely fashion.
- Respond to faculty concerns and questions about the final grading process.
- Manage the mandatory attendance reporting process.
- Manage permissions to workflow processes in various systems.
- Ensure student program enrollment records are up to date.
- Manage and/or monitor staff handling Immunization Compliance.
- Manage the student registration hold process to ensure the timely application and removal of registration holds.
- Manage the assignment of returning student registration times in the student information system.
- Work closely with the Academic Scheduling Specialist to facilitate a smooth registration process for students.
- Manage the registration of special populations of students such as combined degree programs, audited courses, and external partnerships.
- Serve as backup for enrollment reporting to the National Student Clearinghouse.
- Maintain and run enrollment reports for internal processing.
- Represent the Office of the Registrar as a student marshal at one or more commencement ceremonies.
- Participate in other commencement events as assigned.
- Perform other duties and/or responsibilities as assigned or required.
QUALIFICATIONS
- Bachelor’s degree from an accredited institution required; master’s degree preferred.
- Three years or more of experience in higher education administration, preferably in a registrar or enrollment management area.
- One year or more of supervision and leadership experience preferred.
- Ability to work and communicate effectively across all levels within the higher education environment.
- Experience with student information systems management, preferably within Jenzabar CX.
- Experience with the DigArc product Acalog preferred.
- Flexibility in adapting to a variety of working conditions.
- Keen critical thinking, professional judgement, and problem-solving capabilities.
- Effective organization skills.
- Experience developing training programs and manuals.
- Working knowledge of FERPA (Family Education and Right to Privacy Act).
