ASC Operations Coordinator Job at Alivia Care

As a member of the ASC team, the ASC Operations Coordinator provides administrative services to support our patients and the care team. Under the management of the ASC – Home, Operations Manager of Alivia Supportive Care Home, the Operations Coordinator is responsible for daily administrative support of the ASC team(s) and their patients.
Essential Responsibilities:
- Processes referrals and Customer Relations:
- Provides excellent customer service to internal and external customers
- Facilitates referrals requests medical records
- Maintains the inventory of patient enrollment packets which includes consent forms, program brochures, team contact info
- Tracks referrals and follows up to ensure timely admission to programs
- Assists with documentation/scanning into EMR systems
- Assists with patient/staff scheduling
- Collaborates with other departments both within and outside of the organization
- Communicates timely, thoroughly, professionally with interdisciplinary group members, patients, and or caregivers, physicians, and other members of the patient’s health care team
- Coordinates with ASC Palliative Care Team, as needed/appropriate
- Builds, develops, and maintains relationships with area referral sources
- Covers clinician phone lines when clinicians are in the field
- Assist with triage and coordinates patient and referral source communications with clinicians in the field
- Acts as a liaison between management and other departments in the resolution of day-to-day administrative and customer service concerns. Completes reporting requests as directed by management
- Working knowledge of Suncoast, Insync, and another partner EMR(s)
- Assists Manager with community/organization education
- Evaluates services provided to patients, apprising Manager if compliments/complaints or opportunities for improvement are expressed
- Maintains program materials including program manuals, referral sources, and patient materials. Assists with the patient/physician satisfaction surveys and data collection
- May participate in related research and quality initiatives, and staff development programs
- Maintains office supplies, inventory, restocking as necessary
- Assists with management of staff IT related issues
- Performs other duties as needed
Qualifications:
- High School diploma or GED
- At least 3+ years experience working in a healthcare environment
- Certified Medical Assistant or LPN, preferred
- Strong verbal and written communication skills
- Computer proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Microsoft Teams
- Ability to prioritize work assignments
- Highly organized
