About Office of Human Resources (OHR) - Director's Office :
The Office of Human Resources - Director's Office is responsible for directing the design and implementation of new HR initiatives to better serve our customers and improve organizational performance in providing transformative HR solutions. This includes human resources policy development and planning, administration of human resources programs and project and relationship management.
Under the leadership of the Director, the staff of OHR work together to cultivate strategic partnerships, drive organizational change, and empower our workforce through transformative human resource solutions for the more than 10,000 employees of the County.
What we are looking for :
The Office of Human Resources (OHR) is seeking an Administrative Specialist III to serve as the executive administrative assistant to the Director. The Administrative Specialist III will be responsible for providing direct professional-level complex administrative, organizational, and operational support to the Department Director; much of which may involve highly sensitive and/or confidential matters; coordinating and triaging meetings and logistics with the Director and other department managers. The successful candidate must be intuitive, well-organized and self-starting, have the ability to use independent judgement, tact, and discretion; have experience researching, analyzing, and making recommendations as well as enjoy and thrive working in a fast-paced, dynamic, diverse and engaged work environment.
How you will contribute :
Major Responsibilities and duties include but are not limited to:
- Enhance the work of the Director though general assistance and organizational support on a daily basis.
- Optimize the Director’s time by researching, proofreading, and routing correspondence, drafting documents, compiling and analyzing data, and providing recommendations for future action to be taken.
- Providing advice and guidance on administrative policy and operational issues.
- Planning and conducting a variety of special ad-hoc unique or non-standard administrative projects and studies.
- Drafting and implementing new and/or revised standard operating procedures.
- Managing the physical operations of the department’s main office.
- Maintaining and reconciling the Director’s Office P-card.
- Serving as the Department’s HR Liaison; processing personnel transactions and facilitating new employee onboarding for OHR employees.
- Supporting the creation and execution of internal communications to department staff.
- Coordinate and manage the Director’s schedule by planning and scheduling meetings and assisting in preparing meeting materials.
This position requires exceptional oral and written communication skills, the ability to research, analyze and compile information, handle sensitive information with tact and discretion, work on multiple assignments and the ability to engage with various levels of staff – e.g. County Council Staff, Executive Staff, Department Directors, County managers and employees, and other government officials.
