Position Summary: The Administrative Coordinator provides administrative support to the SVP/Chief Medical Officer, VP Specialty Hospice Care, VP Community Hospice Care, and other staff as needed. Position Duties & Responsibilities: • Provides administrative support to the SVP/Chief Medical Officer, VP Specialty Hospice Care, VP Community Hospice Care, and other management staff. • Schedules appointments and meetings, types and maintains correspondence, including letters, meeting minutes, memos, reports and distributes as appropriate. • Organizes incoming correspondence (phone calls and mail) and alerts appropriate staff when items need urgent attention.

Position Duties & Responsibilities: • Provides administrative support to the SVP/Chief Medical Officer, VP Specialty Hospice Care, VP Community Hospice Care, and other management staff. • Schedules appointments and meetings, types and maintains correspondence, including letters, meeting minutes, memos, reports and distributes as appropriate. • Organizes incoming correspondence (phone calls and mail) and alerts appropriate staff when items need urgent attention.
- Ensures meetings have necessary support to run smoothly from start to finish. This might include room set up, AV needs, greeting guests, catering, etc. • Produces timely and accurate agendas, reports, packets and minutes for meetings, as applicable. • Designs and drafts PowerPoint presentations for a variety of meeting types.
- May also support other Executive Team members as needed. Serves as an administrative resource for the corporate office to ensure quality outcomes and ongoing efforts. • Maintains a good working relationship with all levels of staff throughout Hosparus Health. • Assists staff with meeting space/reservations for both in-person and virtual platforms.
- Coordinates and books travel needs for clinical and medical staff when needed. • Processes monthly credit card, expenses, mileage reports and invoices. • Works closely with Medical Team Scheduling Coordinator to ensure schedules are set and confirmed. Will need to serve as a back-up scheduler when the Medical Team Scheduling Coordinator is absent.
- Acts as a liaison with the credentialing company to ensure Medical Staff is credentialed and licensed. • Assists/facilitates completion of medical paperwork including, but not limited to, admissions, recertifications, death certificates, prescriptions, time sheets, billing sheets, performance appraisals, and complaint reconciliations. • Regularly attends Town Hall and departmental meetings, as well as reads Hosparus Health publications as they are distributed to stay knowledgeable on corporate events and offerings. • Maintains Notary State-At-Large services for company.
- Other duties as assigned. Position Qualifications: • High school diploma with some college preferred. • Excellent computer software knowledge and skills (including but not limited to Word, Excel, Access and PowerPoint). • Three to five years clerical experience in healthcare preferred.
