Administrative Coordinator- Behavioral Health (IBH) Job at Encompass Community Services
Position Summary
Encompass Community Services is seeking a passionate self-starter with strong communication, organizational, and project management skills. In this position, the IBH Administrative Coordinator will play an integral role in supporting our Integrated Behavioral Health (IBH) service area. You will report directly to the Senior Manager of residential programs who oversees both mental health and SUD residential programs within our IBH service area.
Minimum Qualifications & Requirements

- Highly organized and efficient with ability to handle multiple priorities and tight deadlines
- Willingness to take direction and learn; ability to take the initiative and think creatively.
- Communicate effectively verbally and in writing. Writing sample required during interview.
- Ability to model using MS Excel; analyze and apply qualitative and quantitative data to support program development.
Essential Functions
- Administrative Support: Provide support to Encompass IBH programs including managers, senior managers, and the director. Ensure administrative procedures are consistently followed and completed within required timelines. Assist with planning, facility procurement, and coordinating meetings, trainings, and events.
- Data & Information: Support with monitoring continuing education requirements and training plans for all IBH employees registered with the BBS and/or SUD certifying agencies. Support managers with collecting employment requirements including proof of CPR and vaccinations and work with HR to ensure data is uploaded into appropriate data platforms. Work across departments to create and/or identify an on-line scheduling platform for our residential on-call workers.
- Special Projects: Oversees special senior/executive level projects and interpedently executes special strategic projects, research, and assignments.
- Cross-Program Coordination: Support leadership with onboarding new employees and ensuring that pre-hire requirements and initial trainings are completed. Assist with service area-wide communication, including summarizing updates and supporting program staff with the location of information within agency and external archives. Analyze current work systems and develop new/improved work flows.
Schedule
The IBH Administrative Coordinator position is full time with typical working hours. Some evening and weekend hours might be required on a rare basis if there are special events or stakeholder gatherings.
Start Timeframe
We are seeking to fill this position by January 1, 2022. Some start-date flexibility will be considered for the right candidate.
Work Location
The IBH Administrative Coordinator position is based in Santa Cruz, California. Hybrid work arrangements are available.
Wages & Benefits:
Our total compensation package includes a comprehensive medical and dental insurance plan for full time employees, 403(b) retirement plan, paid holiday, sick time, and 17 days of paid vacation, pro-rated for positions less than 40 hours a week.
