Administrative Assistant in Social Work PT Job at University of St. Francis

Perform a range of administrative support activities for the Social Work program. This position requires duties such as answering phones, directing calls, greeting and directing students, answering student questions, maintaining confidentiality, scheduling appointments for students with advisors, and performing word processing work as assigned; must be able to work independently.

Essential Duties & Responsibilities
  • Assist BSW and MSW Social Work program directors with events planning and coordination of professional events, ceremonies, seminars, workshops, and professional partnerships luncheons, including Poster Presentations throughout the academic year.
  • Bulk Photocopy/scan information, documents, and articles utilized by social work faculty, students and professional partners’ during events as needed.
  • Organize and file student folders, binders, including internship materials.
  • Arrange transportation for students & faculty to social work professional events
  • Maintain all CSWE, NASW & other professional licenses of department & faculty up to date
  • Design and create a Social Work faculty/Student calendar for the academic year following annual faculty retreats
  • Gather all documents, files, printed matter, place & field calls and any other information that are needed for site visits and CSWE accreditation
  • Place and follow up with purchase orders, expense reports, and book orders for the social work program
  • Assess supply needs and stock supplies, keep storeroom organized and cleaned.
  • Assist students with registration and other academic administrative concerns.
  • Assist students in filling out Field NASW membership and Insurance forms & follow the process to completion.
  • Liaise with the Chair, Director of Field Practicum, Program Directors and students’ advisors to ascertain that students are up to date during their field placement
  • Call for & create agendas, take notes, type and distribute minutes for social work faculty meetings.
  • Fulfill various duties as assigned by the Chair and the Social Work Department.
  • Distribute in-coming and out-going mail.
  • Perform word processing work as assigned.
  • Participate in and promote a culture of continuing quality improvement.

Minimum Requirements
  • High school diploma or GED certificate.
  • Ability to perform physical requirements of the position, with or without accommodation.
  • Willingness to support the Catholic and Franciscan values of the university.

Preferred Requirements
  • Advanced abilities with Microsoft Word, PowerPoint, Excel and internet/email.
  • Ability to create photo presentations, marketing materials, and other fliers as directed.
  • Ability to utilize social media for promotion of the Social Work programs and events as needed.
  • Ability to utilize Banner and Singularity as needed.
  • Ability to work independently.

Hours/Shift/Work Schedule
24 hours per week; Tuesday, Thursday, and Friday from 8:00 a.m. – 4:30 p.m.

Physical Requirements of Position
Work is performed in an office setting with minimal exposure to health or safety hazards. Substantial time is spent working on a computer. This is sedentary work, which requires the following physical activities: lifting and/or maneuvering books and teaching materials, sitting, walking, bending, stooping, finger dexterity, repetitive motions, talking, hearing and visual acuity.
