JOB DESCRIPTION

The Administrative Assistant II will provide comprehensive administrative support to the Housing and Development Department ranging from data entry of applications, running background checks and waitlist management to rent calculations, preparing leases and move in, and move out files.

COMPENSATION

$22.11 - $28.79 per hour. Nonexempt; 40 hours/week; Eligible for Overtime. Compensation based on education and experience.


REPORTS TO

Housing Operations Manager.


QUALIFICATIONS

Required: High school diploma and at least 2 years’ general office experience, plus computer software skills with Microsoft Outlook, Word, Excel and PowerPoint. Willingness to learn housing management policies and procedures, as well as State and Federal Housing regulations; detail oriented, conscientious, flexible, good interpersonal skills and the ability to work cohesively with a team.


Drivers license for at least two years and driving record acceptable to insurance carrier.

Valid California driver's license; auto in safe operating condition; auto liability insurance; good driving record; criminal record clearance; proof of authorization to work in the United States as required by Immigration and Reform Act of 1986. Ability to work independently with minimal supervision.


Preferred: Bachelors degree; accounting knowledge; experience with Housing software such as OneSite.


ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Assist with documents for move-ins, move-outs and re-certifications, which includes document printing, copying, scanning, mailing and faxes.
  • Processes applications, communicates with Program Director about applications, maintains waitlists and prepares correspondence regarding waitlist.
  • Works closely with the Housing Staff to fill vacancies promptly.
  • Assists with move out inspections as requested and communicates with maintenance staff to prepare the unit for the next move in.
  • Assists Housing Staff with annual inspections at each property.
  • Handles other correspondence as requested by Housing Staff.
  • Assists with annual and other project related reports for funders.
  • Audits files for completion and compliance standards.
  • Assists with research, reconciliation, and collection of delinquent account ledgers of current and former residents.
  • Assists with monthly collection processing of current resident accounts.
  • Performs daily date changes and end of month computer tasks.
  • Completes filing and general administrative tasks for the Housing Department.
  • Maintains and orders office supplies as needed by the department.
  • Other duties as assigned.

PHYSICAL REQUIREMENTS

Ability to: operate a motor vehicle; climb stairs; possess good communication skills; meet the requirements of the classification and have mobility, vision, hearing and dexterity levels appropriate to the duties to be performed. Capable of the following extended activities: standing, sitting, climbing stairs. Capable of the following intermittent activities: lifting 25 pounds or more and bending in the performance of infrequently performed office duties.
