Responsibilities:
The Administrative Assistant reports directly to the PAGNY Lincoln Chief Affiliation Officer (CAO), providing support for and assistance with the day to day-to-day operations of the PAGNY Lincoln office.
- Providing administrative support to the CAO and the Harlem office, including answering multiple telephone lines, handling of correspondence, coordinating calendars, scheduling meetings, conference calls, luncheons, travel, etc.
- Providing excellent customer service to all PAGNY employees, serving as the point person for all employee questions. Interact with clients, co-workers and the general public in a professional and effective manner.
- Maintaining employee files & databases with up to date documents, performing file audits to ensure all required employee documentation is retained.
- Prepare and submit complete and accurate invoices and expense reports on a timely basis
- Prepare and distribute memos, letters, faxes, reports, meeting minutes and other documents as requested.
- Responsible for ensuring that all office equipment is fully operational and keeping office supply inventory stocked.
- Assist with special projects and perform other related duties as requested.
Qualifications:
- High School Diploma, Associates degree preferred
- Knowledgeable in Microsoft Office, strong computer skills needed
- Must possess strong interpersonal and verbal skills
- Must be able to communicate clearly, both written and orally
- Must be able to prioritize and plan work activities to use time efficiently
- Must be organized, accurate and able to monitor work for quality
- Must be dependable, able to follow instructions and respond to management direction.
Proof of Covid -19 vaccination required prior to hire.
Salary - $55,000.00
