We are looking for a highly motivated Administrative Assistant to perform a variety of administrative and clerical tasks for a growing coffee roasting company. Duties of the Administrative Assistant include providing support to our growing customer base (B2B and B2C), performing daily office tasks, and managing our company’s general administrative activities.

The ideal candidate for this position will have excellent oral and written communication skills and be highly organized with strong project management skills.

If you have prior experience as an administrative assistant within the food & beverage manufacturing industry (or similar), we’d like to meet you.

RESPONSIBILITIES

  • Answer and direct phone calls from customers and vendors
  • Receive and enter customer orders using Quickbooks
  • Prepare and send purchase orders using Quickbooks
  • Perform various inventory and sales reporting using MS Excel
  • Write and distribute email, correspondence memos, letters, faxes, and forms
  • Assist in the preparation of daily and weekly reports
  • Support various projects from time to time, including those related to sales/marketing, production, sourcing, and all things digital
  • Provide general support to e-commerce customers
  • Provide excellent customer service to B2B and B2C customers

Skills

  • Proven experience as an administrative assistant or office admin assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Outlook, MS Excel, and MS Word in particular)
  • Proficiency in Quickbooks (or comparable accounting software)
  • Excellent time management skills and the ability to prioritize tasks
  • Attention to detail and good problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • Strong researching skills are a plus
  • Familiarity with website management platforms (e.g., Shopify or WordPress) is a plus
