Introduction


The Senate Chief Clerk and Director of Operations is currently accepting applications for an Administrative Assistant. This is a nonpartisan position responsible for serving all 33 members of the Wisconsin State Senate.


The annual salary range for this position is $37,284 – $60,444, dependent on skills, experience, education, and qualifications. In addition, this position receives the same fringe benefits available to other State of Wisconsin employees. In addition to a compensation and benefits package, the Wisconsin State Senate offers an enjoyable work environment and the opportunity to support an important state institution. The Office of the Senate Chief Clerk and Director of Operations is located in the State Capitol building in downtown Madison, Wisconsin. The office is within walking distance away from the Monona Terrace, the Dane County Farmer’s Market, and historic State Street.

Position Summary


The Senate Chief Clerk and Director of Operations is looking for an energetic individual who will provide confidential and nonpartisan administrative support to the Senate and other legislative customers.


Under the supervision of the Senate Chief Clerk and Director of Operations, and the Business Operations Manager, the Administrative Assistant contributes to the office’s mission by providing efficient and effective customer service to senators and staff in a professional manner. The Administrative Assistant greets visitors, answers phones, directs calls to appropriate individuals, and prepares messages. This position also schedules meetings and carries out administrative duties such as filing, copying, binding, and scanning. This position assists Senate offices by managing newspaper subscriptions and responding to requests for flags, citations, and supplies.

Job Details


The Administrative Assistant’s job duties include but are not limited to:

  • Greeting senators, legislative staff, and visitors.
  • Answering and directing phone calls.
  • Processing accounts payable.
  • Assisting Senate offices in managing newspaper accounts.
  • Assisting Senate offices with citation, flag, and supply requests.
  • Producing the Senate directory.
  • Managing the Chief Clerk’s calendar.
  • Processing monthly charges to Senate office budgets.
  • Staffing Senate events, such as Inauguration and the Senate Reunion.
  • Distributing monthly office account statements.
  • Proofreading documents prepared by the Chief Clerk and newsletters created by the office’s graphic designers.
  • Communicating information to Senate alumni.

Qualifications


The ideal candidate should possess excellent interpersonal skills, as well as demonstrate an outstanding ability to communicate solutions and other information to Senators and Senate staff. The candidate must be willing and able to work in a nonpartisan environment, and he/she should be able to operate in a professional and confidential manner while working with Senators and Senate staff in the performance of assigned duties.

  • Ability to work office hours of 8:00 a.m. – 5:00 p.m.
