JOB OVERVIEW:
This position will be responsible for providing administrative support to the Americas Tech Regional CIO with tasks that include but are not limited to travel arrangements, offsites, heavy calendaring, preparing presentation materials, coordinating team events, managing team distribution lists, expense reporting, and other duties that help to create a collaborative bridge across departments and help to provide high-level support to the executive.
RESPONSIBILITIES AND DUTIES:

Schedule appointments and heavy calendar management, prioritizing meetings across different time zones

Arrange international and domestic travel, including airline, hotel, and car service reservations as needed

Collaborate with team members, other admin, and interdepartmentally across regions, and gain recognition as a team resource

Maintain organizational chart information, collaborating with HRBP and recruiters regarding open positions and vacancies

Prepare and track expenses for expense reports

Draft, proofread, edit, and/or review correspondences and reports
-
Prepare reports, presentations, and other communications as needed
-
Coordinate and occasionally facilitate virtual meetings (weekly, monthly, and/or quarterly)

Manage confidential information with discretion

Provide onboarding and offboarding support for incoming and outgoing employees

Support with invoicing, budgeting, and similar items
-
Other duties as assigned
QUALIFICATIONS:
-
2+ years in Executive Assistant role or 4+ years in Administrative Assistance role

Bachelor’s degree preferred
-
Excellent organizational, communication, and interpersonal skills
-
Proficiency in Microsoft Office Suite, particularly Word, Excel, and PowerPoint
-
Experience with Concur SAP preferred

Ability to prioritize tasks and manage multiple projects simultaneously

High level of discretion and ability to maintain confidentiality

Strong attention to detail and accuracy

Ability to work independently and as part of a team
-
Second language in Spanish is a plus
