Gentry Locke Attorneys is seeking an Administrative Assistant to join our Richmond office. If you are interested in joining a talented and motivated team, we invite you to apply! The Administrative Assistant will perform a variety of administrative tasks to assist the information technology help desk team with navigating user submitted help desk tickets. In addition, this position will support the new matter intake team by assisting with opening new clients and/or cases. The Administrative Assistant will work independently, as well as in a team environment. This position requires ongoing communication with attorneys and staff.

  • New Matter Intake Processing: opens new clients and/or cases in the firm accounting system adhering to applicable process rules and guidelines.
  • Obtains W9 forms for new vendors for all companies as needed and makes TIN matching corrections.
  • Assist with conflicts of interest checks for the firm, including independent, in-depth research of parties, as needed.
  • Provides administrative assistance to the information technology help desk team.
  • Responsible for answering help desk calls and emails and providing appropriate communications on status.
  • Maintains tracking database for help desk tickets. Set priority for each ticket.
  • Responsible for the triage and review of all tickets. Escalate tickets as necessary.
  • Provide back-up assistance to the Richmond Administrative Assistant/Receptionist as necessary.
  • Performs other related duties incidental to the work described herein.
  • Proficiency in Microsoft Office to include Microsoft Word, Excel, and Outlook.
  • Minimum of 2 years' experience as an Administrative Assistant or Executive Assistant.
  • Ability to organize and prioritize numerous tasks and complete them under time constraints.
  • Ability to think critically, concentrate and pay close attention to detail.
  • Willingness to learn and apply new technology.
  • Excellent verbal and written communication skills.
  • Ability to operate standard office equipment.
  • Work occasionally requires more than 40 hours per week to perform the essential duties of the position and/or to meet deadlines.
