We are seeking a highly organized and customer-focused individual to join our team as an Administrative/Customer Service Representative. This role plays a crucial part in providing excellent customer service and maintaining efficient office operations. As the face of our company, you will be responsible for managing inquiries, resolving issues, and ensuring customer satisfaction.
Responsibilities:
- Greet visitors, clients, and employees in a friendly and professional manner
- Answer incoming calls, address inquiries, and direct calls to the appropriate personnel
- Provide outstanding customer service by responding to inquiries and resolving customer complaints or issues promptly
- Maintain an organized and welcoming reception area, ensuring it is clean and well-stocked with necessary supplies
- Assist with administrative tasks such as data entry, filing, scanning, and managing documents
- Schedule appointments and manage calendars for team members as needed
- Manage incoming and outgoing mail, including sorting, distributing, and organizing correspondence
- Assist with office supply inventory management and procurement
- Collaborate with other departments to ensure smooth operations and effective communication
- Perform general clerical duties, including photocopying, faxing, and mailing
Requirements:
- High school diploma or equivalent; additional certifications in customer service or administration is a plus
- Proven experience in a similar role, preferably in an office environment
- Excellent verbal and written communication skills
- Strong organizational and time management abilities
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to multitask and prioritize tasks effectively
- Attention to detail and accuracy in completing tasks
- Exceptional interpersonal skills and ability to work well in a team
- Professional and courteous demeanor when dealing with customers and colleagues
- Ability to handle confidential information with discretion
